Job Summary: Administrative Assistant

Under the Direction of the Executive Assistant, the Administrative Assistant will be responsible for coordinating and providing support for Jane Pauley’s Administrative Team. This role will provide support for day-to-day activities, scheduling and travel, organizing meetings, recording and publishing meeting minutes, assist with event planning, and other duties as needed.

Essential Duties and Responsibilities include the following. Other duties may be assigned:

  • Attends multiple staff meetings and records and publishes minutes for review as needed
  • Organizes a variety of meetings and events under the direction of various members of the Directors and Managers, and others as needed
  • Presents pertinent information at meetings and events as assigned
  • Acts as host for meetings and events as assigned: greeting guests, servicing refreshments as requested
  • Arranges for seminar/conference registration for staff as requested
  • Arranges for travel and lodging for staff as requested
  • Prepares weekly courier bags to be sent to the various sites
  • Maintains stock of office supplies
  • Sorts daily mail and passes out to departments
  • Helps different departments within the administration building with various tasks
  • Greet and assist guests visiting the Administrative Office
  • Assist with special projects as assigned.

  • Proficient with Microsoft Office Suite (expert skill levels in Word, Excel, PowerPoint, Outlook, etc.)
  • Demonstrate a high level of organizational, communication and interpersonal skills
  • Demonstrate effective writing skills to prepare letters and various communications among executive staff members, medical staff and professional stakeholders
  • Displays a high-level reading and comprehension skills to understand information and proofread documents
  • Ability to be highly flexible, multi-task, prioritize projects and take direction
  • Ability to identify and resolve problems
  • Demonstrates a high degree of responsibility, accountability, confidentially and discretion
  • Willingness to work outside of typical office hours when necessary
  • Ability to work and make decisions independently
  • Must possess excellent customer service skills for both internal and external stakeholders

Education and/or Experience

  • High school diploma required. Associates degree preferred
  • 2-3 years of experience preferred
