We are currently seeking a professional, compassionate, and organized Intake Coordinator to join our team. This vital role serves as the first point of contact for new and existing clients and plays a key part in supporting our mission to provide accessible, person-centered recovery services to the community.
Summary:
The Intake Coordinator is responsible for welcoming new and established clients both in person and over the phone, assisting them in completing intake forms, verifying insurance, and coordinating scheduling needs. This role also ensures smooth office operations by working collaboratively with internal staff and external recovery health partners. The ideal candidate will have excellent communication skills, attention to detail, and a strong commitment to client care and confidentiality.
Responsibilities:
- Greet all clients in a warm, welcoming, and professional manner.
- Answer incoming calls promptly and courteously, assisting callers and routing messages appropriately.
- Schedule and confirm client appointments, ensuring proper coordination with providers and navigators.
- Assist clients in completing intake paperwork, including gathering background, treatment history, and reason for seeking services.
- Verify insurance eligibility and coverage, collect co-payments, and follow appropriate documentation and privacy protocols.
- Collaborate with the Navigator and other team members to ensure a seamless intake and transition process.
- Maintain accurate and confidential client records within our electronic systems.
- Monitor and respond to voicemails and email inquiries in a timely and professional manner.
- Assist with client correspondence and medical record requests, as needed.
- Maintain cleanliness and orderliness of the reception and waiting areas.
- Attend staff meetings and trainings to support ongoing development and departmental alignment.
- Perform other duties as assigned in support of the organization’s mission.
Skills & Qualifications:
- Proficient in Microsoft 365 (Outlook, Word, Excel, Teams)
- Exceptional verbal and written communication skills
- Strong organizational and time management abilities
- High attention to detail and accuracy in data entry
- Ability to handle sensitive information with discretion
- Comfortable with multi-line phones, scheduling systems, and EHR software
- Previous experience in a client-facing healthcare or behavioral health setting preferred
- High school diploma or GED required; associate degree or relevant coursework in healthcare or social services is a plus
